Refunds and cancellations

This policy applies to consulting engagements with Cognitive Cloud Careers for apprenticeship and dual-study application guidance, document review, interview preparation, and orientation sessions. This website does not process payments; invoices and receipts are handled offline.

Eligibility overview

Refunds depend on whether work has started, how much notice you give before a booked session, and whether materials prepared for you have already been delivered.

Timeframe for requests

Request a refund or cancellation in writing (email to info@cognitive-cloud.digital) as soon as you know you cannot proceed. For unused prepaid packages, requests should arrive within 14 days of payment if no document work or sessions have begun.

Full refund

A full refund is available when you cancel at least 48 hours before the first scheduled session and we have not yet delivered written shortlists, document markup, or interview notes.

Partial refund

If part of a package is complete (for example orientation and shortlist delivered, interviews not yet held), we refund the unused portion minus work already performed, calculated against the package breakdown in your confirmation email.

Non-refundable items

• Completed document review rounds and delivered markup files
• Completed mock interview sessions
• Orientation sessions already held
• Administrative booking fees stated as non-refundable in your confirmation (if any)

Deposits

Where a deposit reserves a start date, it is credited toward the package fee. Deposits become non-refundable once document work begins or within 48 hours of the first session, whichever comes first, unless we cancel.

Cancellation by us

If we must cancel a session and cannot offer a suitable alternative within 14 days, you may choose a full refund of amounts paid for the cancelled portion or a reschedule at no extra charge.

Rescheduling and no-shows

You may reschedule a session once at no charge with at least 24 hours’ notice. Later changes or no-shows may forfeit that session fee. Dual-session interview packages allow one free reschedule across the set.

Work already started

Once we have begun reviewing your Lebenslauf, Motivationsschreiben, or pathway shortlist, fees for that stage are earned. Remaining unused stages may still qualify for partial refund as described above.

Refund process and timing

Email info@cognitive-cloud.digital with your name, booking reference or invoice date, and reason. Approved refunds are processed within 14 business days to the original payment method where possible.

Exceptions

Mandatory consumer rights under German law remain unaffected. If illness prevents attendance, provide notice as soon as practicable; we will usually offer one complimentary reschedule for documented cases.
